OxCIN Meeting Rooms

Please see below useful information about the meeting spaces at OxCIN.

Available rooms

OxCIN has several meeting rooms spread across the FMRIB and OHBA sites. Each room has different facilities, either from a furniture or technology point of view; the guides below describe these differences, helping you to choose the most appropriate location and to get the most from the technology within each room.

All rooms are equipped with Microsoft Teams Room facilities and usage guides for these systems is available on our Teams Room page.

Cowey Rooms

Newsom-Davis Room

​The Newsom-Davis room has a board room layout. The table incorporates power points - UK 3-pin, USB-A and ethernet. The USB ports only provide power (no data connection). Please do not connect high-wattage devices to the power points - they cannot provide more than 3A (approximately 80W). The screen can be used by connecting to the in room Microsoft Teams device (see the Teams Room page).

Where you are unable to use Teams, for example because you are taking part in an externally organised Zoom meeting, then there is an HDMI and USB cable located in the smaller recessed connectivity box in the table surface to allow for using the webcam/sound bar in Device Mode.

Please take care to not spill liquids into these recessed areas, liquids and electricity do not mix!

Radda Room

​The Radda room contains a high table with bar stool style seating. The table top incorporates power points - UK 3-pin, and ethernet ports.

Please do not connect high-wattage devices to the power points - they cannot provide more than 3A (approximately 690W).

The screen can be used by connecting to the in room Microsoft Teams device (see the Teams Room page).

Where you are unable to use Teams, for example because you are taking part in an externally organised Zoom meeting then there is a HDMI and USB cable to allow for using the webcam/soundbar in Device Mode.

Old Office Room

This is a new meeting space that is under development. At the moment it has small tables and chairs and can be used in a board room layout. Please note there is no audio/visual set up in this meeting room.

Quiet Room

The Quiet Room is available to anyone, student, staff or visitor, who needs a private space for a short period during the working day. The room has a sofa and an easy chair for relaxing, blinds and lockable door for privacy, room/floor space for prayer, stretching, etc. Some examples of room use are:

  • prayer or meditation
  • re-centring after a difficult or tiring meeting
  • taking a moment of rest from a busy day or a noisy office
  • breastfeeding or pumping (there is a storage box for milk in the fridge in the Annexe kitchen on the first floor)
  • dealing with minor self-administered medication for a medical condition

The sofa armrests incorporate power points - UK 3-pin, USB-A and USB-C. The USB ports only provide power (no data connection). Please do not connect high-wattage devices to the power points - they cannot provide more than 3A (approximately 690W). Please take care to ensure that the cable bundle is not trapped by the floor box lid so damaging the cables - the USB cable in particular is very expensive. When using the floor box ensure that the pop-up flaps are open and that the cable passes through the gap thus created.

How to use the Quiet Room

You do not need to book the Quiet Room in advance, but you are welcome to do so if you know that you will want to use it in advance or at a recurring basis. You can make a booking via Calpendo. The Quiet Room calendar can be found under Calendars > FMRIB > Quiet Room. If you cannot log into Calpendo, please email admin@oxcin.ox.ac.uk and we will help you with your booking. To maximise the availability of this room for its intended use, we kindly ask that a regular meeting room is used for work meetings whenever possible.

The Quiet Room is on the ground floor of the FMRIB Annexe (previously Tracey Room), between the two open plan office areas. As you come into the front door from the lobby, go straight ahead, and the room is the first door on your right. It has a glass wall with wood-coloured blinds.  If you have not booked the room on Calpendo, please check if someone else has booked it.
Please move the sign on the door to ‘occupied’ as you enter. You are welcome to lock the door from the inside to avoid unexpected disturbances. Please remember to switch the door sign to ‘free’ when you leave.

OHBA Lounge

​The OHBA lounge contains many tables and chairs and a movable trolley with a large screen and Microsoft Teams device and control panel. Whilst the screen is moveable, care should be taken with the cables to the screen. The screen can be used by connecting to the in room Microsoft Teams device (see the Teams Room page). Where you are unable to use Teams, for example because you are taking part in an externally organised Zoom meeting then there is a HDMI and USB cable provided to allow for using the webcam/soundbar in Device Mode.

OHBA Meeting Room

​The OHBA meeting room contains a boardroom style table. The screen can be used by connecting to the in room Microsoft Teams device (see the Teams Room page). The OHBA meeting room Teams system supports additional presentation modes and can join Zoom and WebEx meetings.

The whiteboard is fitted with a camera allowing transmission of the whiteboard content into your Teams meeting. To switch from the main camera to the white board use the Share icon on the Teams touch panel. The system will ghost the person writing on the screen, so any writing on the board will take a few seconds to become visible to remote participants.

​​​N.B. The content on the physical whiteboard is not saved with the meeting; if you wish to preserve this then take a screen grab on device joined to the meeting.

To join Zoom/WEBEX meetings via Teams, the room's email address ohba-meeting-room@ohba.ox.ac.uk should be invited to the Zoom/WebEx meeting at least 15 minutes before the meeting is due to begin. The meeting should then appear in the meeting list on the touch panel and can be joined by selecting the item.
